Message Waiting confusion?

telephoneOne common problem I encounter is the ability for end users to activate the message waiting lamp at other extensions and in turn causes confusion within the office. End users often activate this accidentally. The result is people thinking they have voice mail messages not knowing that the blinking light is essentially a ‘callback’ reminder from another user. Here’s a tip on how to minimize or eliminate this problem… Firstly, here is how the function works:

  • Lift the handset or press the speaker button
  • Dial an internal extension and during busy/no answer press 0 and hang up

This activates the message waiting lamp on the extension you dialed. The display on the extension you dialed will also show a message indication with your extension’s name as well. To cancel this function from the setting phone:

  • Lift the handset or press the speaker button
  • Dial 771 (or *771 which is what I use) followed by the extension number of the phone you activated the lamp at and hang up

Here is what I recommend:

  1. To disable this feature, go to command 20-13-07 and disable this function altogether for the respective class of service (1-15).
  • If you have no need for this feature, simply disable it. The result will be a lot less confusion around the office and less support calls to you.
  1. Use command 15-02-28 to change the lamp color from ‘Red’ to ‘Green’.
  • If you don’t disable the function altogether, then change the message lamp color. The default is red which is the same as a voice mail message indication.

When the user has a voice mail message the lamp will be red. If an end-user lights a message lamp on another extension the lamp will be green (this will have priority over voice mail). Now it’s clear to both you and the end user whether the lamp was lit from the voice mail or not. When you get the phone call simply ask your customer if the lamp is red or green and walk them through turning it off.
